Setting up and preparing the party (before)

Before we can open the doors and welcome the start of the Semester Kickoff Party this year, we will need many hands to perform the following tasks.  

 

SET-UP PARTY VENUE

From Monday to Thursday, we are busy setting up for the Semester Start Party. Everything from setting up the interiors in the bars, hanging lights, distributing waste bins to setting up our warehouse, creating magic backstage, building our volunteer area, putting up banners and signs, setting up check-in and making decorations – we make it happen – together. 

 

AD HOC SETUP DEKO TEAM

We all know how much the final finish means… that’s exactly what this team does… they make everything from lighting, furniture, bars to entrances and green elements look beautiful.

 

WAREHOUSE & LOGISTICS

As soon as all our orders start arriving at the site, the Ad Hoc Warehouse & Logistics team gets to work. They organize the warehouse, distribute all the goods to the individual bars, and keep track of everything to ensure that we have received what we have ordered from our suppliers.  

When the party gets underway (under)

During the actual party, we need you to help make it all happen! From bar and check-in to backstage and social media – you’re involved in creating the atmosphere and ensuring that the party runs smoothly. 

ACTIVITY TEAM

During the festival, the Activity Team ensures that all activities and elements are performed to perfection.

SUPER VOLUNTEER -ARTIST CARE 

All Super Volunteers have a trusted role. This is one of the most satisfying jobs.

In Artist Care, the main task is to ensure that the backstage is always sparkling, that our artists are comfortable and receive what they have requested in their riders, and that the band room is clean and ready every time a new artist checks in.
It's not a hard job, but it requires good structural skills and a mindset filled with smiles and service.

SUPER VOLUNTEER-HOST 

Every Super Volunteer has a trusted role. This is one of the most fulfilling jobs.

Our volunteer lounge is the first base for our volunteers when they arrive for their shift. Here they are assigned to their shifts, receive their Crew T-shirt, and their goodie bag after the shift is over.
It is also here that they can buy a soda and a light snack (at a voluntary price) and take a break (when scheduled).

Being a Supervolunteer Host (you are 2 on duty) is not a hard job.
It is a long day and requires you to be self-motivated, want to maintain a good and relaxed atmosphere for everyone, and have a service-minded smile.
Your contribution is of great importance for the experience of all volunteers.
In the volunteer lounge, there is free locker space for volunteers.

CHECK-IN 

As the first point of contact at check-in, you are the one who greets both volunteers and guests first.
It is you who – in an efficient and safe way – ensure that they are given the correct wristband.

 

TECHNICAL SUPPORT TEAM

The Support Team has a broad and demanding role, as they both support everything related to the payment systems in all sales stands and bars; upload menus and prices to each bar/stand, deploy terminals, solve technical challenges.
The Support Team also handles all administrative tasks related to the operation of our warehouse and continuously monitors sales.

COMMUNICATION TEAM 

During the 2 festival days, the Communication Team maintains all SoMe communication, answers all incoming questions on all channels – including info emails – and is responsible for creating live SoMe content during the festival.

Being outgoing and taking the initiative to talk to strangers is a great advantage.
The Communication Team also ensures that we receive all the planned video, photo and report material.

BAR TEAM

Working in the Bar Team involves all tasks from emptying trash cans, ordering and picking up more items to serve to the guests and ensuring that everyone has a good experience in the bar. All Super Volunteers have a designated role.

 

SUPER VOLUNTEER-BAR TEAM LEADER

Every Super Volunteer has a trusted role. This is one of the most fulfilling jobs.
As a Bar Teamleader, you have – throughout your shift – the overall responsibility for the bar: staff, operations, procedures, and results. You welcome volunteers to the bar team, distribute tasks and breaks, monitor compliance with procedures, and ensure the team is happy.

At the end of the day, closing the bar is extremely important, and it is crucial that you have an overview.

Being a Bar Teamleader is not physically hard, but it is definitely not for everyone. It requires leadership skills, structure, planning, and an understanding of the balance between volunteering and business.


RECYCLING EXCHANGER

The Semesterstartfest strives to be as sustainable as possible.
There is a lot we can do, and one thing is to ensure that all recyclable materials are collected and recycled.

At our recycling station on the festival square, you can earn a bonus on your wristband if you return empty mugs and cans. Your job as a recycling exchanger is to receive and sort these – as well as ensuring that you settle the bill with the guest.

Help to get everything under control when the music is turned off and the party is over.  

PARTY OVER

If your superpower is getting things done – properly and on time – then you’re a perfect fit for the Party Over Team.
We start Sunday morning with big smiles, work gloves, and big ambitions.
The goal is to leave the area empty and clean by Monday evening at the latest, so that everyone with focus and determination fits perfectly in this tea.m. 

 

Taking place on Sunday and Monday, 13-14 September. 

What do I get out of being a volunteer?

Volunteers – time commitment

As a volunteer, you must take a shift in deployment, dismantling, or removal in accordance with the following.

 

Set-up (September 7-10): During the period 08.30-20.00

  • A total shift (working time 11 hours and 30 minutes)

  • Or Two 6-hour shifts that can be combined over the days of the deployment period (total working time 12 hours)

Liquidation (September 11-12): during the hours 12.00-02.00

  • Minimum 7 hours 

 

Demolition (September 13-14): 

  • September 13: A guard from 10:00 to 20:00
  • September 14: A guard from 08:00 to 18:00

What do I get out of being a supervolunteer?

A superfan is a volunteer who takes more hours than the standard number of hours for volunteers.

Time spent:

Time duration – minimum 12 hours. 

Here you can take on established super-volunteer shifts of 12 hours or combine assembly, deployment or withdrawal shifts.

NOTE: Setup and teardown times count half. 

For example:

  • If you work 12 hours on the job and 6 hours off, you have a total of 12 available hours.

  • If you work 12 hours during the party and 6 hours on duty, you have a total of 15 hours available

GODER 
  • In addition to the same as above for Volunteers. 
  • Valued at 300 DKK placed on the wrist. The value can be used at the venue during the party (NOTE: no alcohol during your shift).
  • Invitation to a cozy “thank you for the help” evening with food provided in the autumn

Food and drink during your shift

As a volunteer, of course you can expect to be provided with food equivalent to the time you spend working. 

In the setup and dismantling phase, it will typically be the lunches, afternoon cakes, and dinner on the days we work.  

During the days when the festival is taking place, we have made an agreement with the food stalls, who will have a selection of food for a voluntary price. 

As a volunteer, you receive 130 DKK deposited into your wristband that can be used for food during your shift. This amount can be used as payment in food stands, bars, and in the volunteer area.

One thus determines for oneself how and when to use the card's balance.
The amount is for use at the venue during the party (NOTE: no alcohol during your shift)
